We are so excited to have you join us at BaseGlamp in beautiful Whitefish, Montana. No one likes paperwork, but we do have some important things for you to review so please read all of the information below. If you forget something, don’t worry, we will have a copy in your in-dome information binder. Feel free to reach out with any questions.

Private Dome

While you will have your own private dome, seating area, and amenities, our property and communal spaces will be shared with other guests onsite.

Site Address & Driving Directions

767 Lupfer Road, Whitefish, Montana 59937

From Whitefish, take Hwy 93 north toward Eureka. About 12 miles from downtown, you will see a sign for the Lupfer Trailhead, the next right is Lupfer Road (sometimes this comes up at Lupfer Meadow Road on maps).  Continue for 1.8 miles and turn into our site shortly after passing Out Of Bounds rd. You will come around a curve and down a slight hill and then you will see our driveway marked with a green 767 address sign on the mailbox. Please pull all the way into the property and follow the signs. Parking will be marked. Please do not take an ADA space unless it is needed for accessibility. The driveway forms a loop, so if you went too far, you’ll be able to turn around. The central area/front desk are located in the barn on the property.

IMPORTANT: The driveway is an easement across our neighbor’s property. Please do not park or stop on the driveway. Only park in designated parking areas. Please also be courteous of our neighbors by not speeding, not parking on the driveway, and not playing loud music when entering the property so that we may protect our neighbor’s space and property.

Check-In: 4:00 PM

Check-Out: 11:00 AM

Late Check-out may result in a fee

Self check-in is any time after 4:00 pm MST. You will receive a text or email with your door code prior to arrival. Check-out is by 11:00 am on the day of your departure. When you check out, please turn off all lights, close all windows, make sure your fireplace is off, and lock the door. Dishes should be thoroughly washed and dried upon departure. At the end of your stay, please gather used sheets and towels in the bathroom. Any sheets or towels that were not used can stay on beds or in the linen storage area.

Know Before You Go:

WIFI

-Due to our remote locations, we do offer Wifi in some areas, but access to cellular service varies and is at times, unavailable. You can use the Wifi for Wifi calling. We hope you will disconnect and enjoy your time in nature.

FIRE

-Firewood can be purchased in advance of your stay by emailing ​[email protected]. We charge $10 for one large tub of firewood. You can always purchase more firewood if you are in need. IMPORTANT: fire season is a real thing and the county determines when NO fires are allowed. You must abide by the county fire restrictions when they are in place. The website for up-to-date fire restrictions was provided in your confirmation email. It can also be found in your Dome welcome book. NO SMOKING OR VAPING IN DOMES OR ON THE PROPERTY. 

PETS

-Pets are not allowed.

CANCELLATION: BaseGlamp is not responsible for weather conditions, personal emergencies, or schedule changes. Reservations must be canceled fourteen (14 days)  prior to your arrival date in order to avoid forfeiting 100% of your payment. If reservations are canceled less than 14 days before the arrival date, your credit card will be charged the full room charge plus taxes.  If you cancel any reservation, you must obtain and save the cancellation number for your records.

NO-SHOW CHARGES: Failure to check in on the scheduled arrival date for a reservation guaranteed with a credit card will result in a No-Show Fee being charged to your credit card.  You will be charged 100% of your reservation for a no-show.

BASEGLAMP GUEST AGREEMENT: We strive to provide a safe, clean, and friendly experience.  These policies are a part of our reservation agreement with you.  As our guest, by making a reservation and staying at BaseGlamp, you are contractually agreeing to abide by all of our policies, terms and conditions, and procedures.  These policies are subject to change from time to time, so please be sure to read all terms carefully.

GUEST REGISTRATION: We require valid contact information from the guest making the reservations including first and last name, residential address, and phone number.  The names of all guests occupying the dome must be registered (ARM 37.111.130).

CHECK-OUT TIME: Dome rental period expires at 11:00 AM.  Additional day charge, plus tax may apply for late checkout.

CHECK-OUT PROCEDURE: We utilize self-checkout. Please lock the door, wash all dishes, turn off the fireplace, make sure the fire is out, and turn off the lights. Please properly dispose of all food in the fridge. If you wish to request a later check-out, please give us 24-hour notice and we will do our best to accommodate your request.  A charge may apply for late check-out.

EARLY DEPARTURE: Guests who check out prior to their scheduled departure date will still be charged for their full reservation.

ADA/HANDICAPPED ROOMS: ADA-accessible domes may be available and should be reserved in advance via our website.

(tobacDEPOSITS AND GUARANTEES: There is a 100% Deposit required to make an individual room reservation.  If the credit card payment is invalid the reservation will automatically be canceled.

RATES: All rates are quoted in United States currency, plus tax.  Rates may increase without notice.  Rates as advertised on the BaseGlamp website or any other website or promotional material are subject to change at any time and may increase or decrease at the owner’s discretion.

RIGHT TO REFUSE SERVICE: BaseGlamp is privately owned and operated.  We reserve the right to refuse service to anyone for any reason(s) that does not violate Federal or State laws.  BaseGlamp may refuse service or remove a guest for refusing to abide by our policies and procedures.

QUIET HOURS: 10:00 PM-8:00 AM (MST) If you have a concern of a disruptive guest, please contact staff immediately.  Televisions, voices, or other devices must always be kept at a respectful volume level.  Doors should be opened and closed quietly.  No gathering in common areas during quiet hours.

VISITORS: No visitors after 11:00 pm (MST). Visitors must always be accompanied by the registered guest.  As a registered guest, you are responsible for your visitor at all times.

ACCESS TO ROOMS: We may be required to enter the room from time to time during your stay to clean the room, check for working order of facilities or equipment, and verify the condition of the room.  We reserve the right to enter a room for reasonable purposes, such as an emergency, housekeeping, maintenance, verify that the room, its furnishings, and mechanical equipment are intact, or to address or prevent a violation of our policies.  Law enforcement will be granted immediate access to the property and domes in the event of suspected illegal activities.

CHILDREN: Children of all ages are welcomed. Children aged 18 and under stay for free when sharing a room with one or more paying adult(s), using existing bedding.  As the parents, guardians, or chaperones of children you are personally and legally responsible for and must always supervise them (Montana Code Annotated Section 70-6-514).  Do not leave children unattended in the domes or allow them to roam the property unsupervised.

MAXIMUM OCCUPANCY: Dome occupancy requirements are based on fire code/fire safety and weight restrictions for our decks and are stated in the description of your room when booking.  If you exceed the maximum number of guests allowed, you will be asked to rent another room for proper accommodations or vacate the property

SMOKING:  Due to fire risk this is a 100% NON-SMOKING (tobacco or marijuana) property. No Vaping in the domes. 

LINEN CHANGING: Your comfort is very important to us as is the environment.  We do not offer daily housekeeping of our short-term rentals. If additional linens are required, please let us know.

LOST & FOUND POLICY: BaseGlamp assumes no liability for lost, misplaced, stolen, or damaged valuables or belongings.  If you discover that you have left behind something of value to you, please call us immediately and we will try to assist you in locating your lost item.  We are unable to provide a guarantee of returning any personal belongings left behind.

ALCOHOL POLICY: Registered guests of legal age who choose to bring their own alcoholic beverages must consume those in their dome.  Alcohol is not allowed in public areas or common areas, etc.

FIREARMS AND WEAPONS: We are a firearm and weapon-free property.

IN CASE OF EMERGENCY OR FIRE: Please call the emergency number in your information booklet in the event of a fire or other emergency, and they will take appropriate action. Please notify the owners at the number provided.

NO IN-ROOM PARTY:  No parties, loud disturbances, and/or noise-nuisance are allowed or tolerated on the premises.  In the event of a disturbance, one polite request (warning) will be given to reduce the noise. Registered guest(s) is responsible for the conduct for all persons visiting, and ensuring their visitors abide by all BaseGlamp policies.

FREE WiFi ACCESS: BaseGlamp provides access to WiFi for free to all of our registered guests.  Please keep in mind, with the location of our domes the connection is not guaranteed to be typical WiFi most are used to.  The WiFi access code is subject to change without notice.  WiFi signals are subject to change without notice depending on the guest’s location, the status of our WiFi equipment, and interference from other wireless signals. BaseGlamp assumes no liability for guest use of the WiFi network and disclaims any guarantee or representation of WiFi network security.

ENFORCEMENT: Owners will respond to potential violations of our House Rules.  Guests who refuse to abide by the reasonable standards and policies established by BaseGlamp for the safety of all guests, owners, property, and the operation and management of the short-term rentals will be evicted, with no refund (Montana Code Annotated Section 70-6-511).

ILLNESS AND EPIDEMICS: BaseGlamp reserves the right to refuse accommodations to a guest arriving with a contagious disease.  In cases where sickness occurs during the stay, please notify the owners.  In the case of serious sickness, you may be requested to receive appropriate healthcare from the nearest healthcare facility.  During epidemics or outbreaks of disease, we are entitled to employ precautionary measures within our judgment or as required by local authorities.  We may charge you a room cleaning fee in such circumstances as we deem appropriate.

INFESTATION: The cleanliness of our domes is extremely important to our guests.  If you bring any infestation into your dome or onto our premises, we may charge you for any and all costs and expenses, including immediate or urgent response requirements and loss of dome revenue, that we deem necessary to address the infestation.

PARKING AT OWN RISK:  All vehicles are allowed to park for free on BaseGlamp property but at the sole risk of the owner. No RVs, campers, or trailers are allowed on the property.  You assume any and all risk of damage or loss associated with parking your vehicle at Baseglamp, without limitation.   BaseGlamp does not assume, and expressly disclaims liability or responsibility for any vehicle, occupants, or contents while operated or parked on BaseGlamp property.  If a vehicle is left in our parking lot after the guest has departed without the written consent of BaseGlamp, we reserve the right to have the vehicle towed at the owner’s expense.  No vehicle repairs are permitted on the premises. Parking is only allowed in designated parking spots. Guests are only allowed 1 vehicle per reservation.

DAMAGE AND/OR THEFT OF  PROPERTY: You are liable for any damage caused (whether by the deliberate, negligent, or reckless act) to the domes,, furnishings, fire detection systems and fire fighting equipment, and BaseGlamp’s premises or property caused by you or any person in your party whether or not staying at the resort during your stay.  BaseGlamp reserves the right to retain your credit card and/or debit card details as presented at registration and charge or debit the credit /debit card such amounts as it shall in its sole discretion deem necessary to compensate or make good the cost or expenses incurred or suffered by BaseGlamp as a result of any conduct by you or your guests that results in damage to BaseGlamp’s property.  You will be charged in the event any damages happen outside the normal wear and tear of the property during your stay. Also, if items are missing, ruined, or the property is left in a condition beyond standard dirtiness (in BaseGlamp’s sole discretion), we reserve the right to bill accordingly for these items. We will take photos of damaged items for documentation. Should damage come to light after the guest has departed, we reserve the right and you hereby authorize us to charge your credit or debit card for any damage incurred to your room or the property during your stay, including and without limitation for all property damage, missing or damaged items, smoking fee, cleaning fee, guest compensation, etc.  We will make reasonable efforts to rectify any damage internally prior to contracting specialists to make the repairs, and therefore will make a reasonable effort to appropriately control the costs of repair chargeable to a guest in such situations. Damage to rooms, fixtures, furnishing and equipment including the removal of electronic equipment, towels, artwork, etc. will be charged at 120% of full and new replacement value plus any shipping and handling charges. Damage to mattresses and linen including; towels, mattress pads, sheets, bedspreads, blankets resulting from the use of body oils, make-up, shoe polish, etc. will result in a charge for the special cleaning, repair or replacement of the damaged article.

CHANGES OR MODIFICATION TO OUR POLICIES AND RULES:   BaseGlamp reserves the right to amend, modify, change, cancel, vary or add to these policies or the arrangements and content featured on our website at any time without prior notice.  Please check our website regularly for updates to policies.  Any modification to these policies that occurs before your departure is considered a part of your reservation agreement with us.  A copy of the policies is available in your dome.
